This policy explains how Notary Geek and its powered sites collect, use, store, and protect information for document requests, identity verification, scheduling, support, files, payments, and messaging.

This policy applies to Notary Geek websites, state-focused sites, request forms, support forms, and related landing pages.

Identity verification and scheduling

This policy also applies to identity verification, booking, support, and follow-up workflows connected to your request.

Text and support communication

If you provide a mobile number and opt in, this policy also applies to request updates, support messages, scheduling messages, and status communication.

Information we collect

What we may collect

Depending on the workflow, we may collect your name, email address, phone number, company name, document type, destination country, shipping details, timestamps, device details, browser details, uploaded files, payment status, and information you submit through forms or support channels.

When identity verification is part of the workflow, we may collect or receive verification status, reference identifiers, ID-document metadata, selfie or liveness metadata, and related records from Persona and connected identity-verification workflows.

Third-party service providers

Notary Geek may use service providers that help operate the workflow, including Microsoft for hosting, productivity, storage, and related business systems; Persona for identity verification; Jotform for intake; Stripe for payments; Google and advertising or analytics providers for measurement; telecom providers for calls, SMS, WhatsApp, or related messaging; carriers for shipping; and software providers that support scheduling, support, security, and operations.

These providers may process data on our behalf to deliver the requested service.

Backend access

Operational data is not left scattered across public tools.

Notary Geek is designed so request, verification, payment, and file events can be kept in private backend systems we control. This is not a commodity shared-hosting setup or a loose collection of public tools. The workflow is built around controlled access, durable records, and private operational systems.

This helps us match requests, support customers, preserve audit history, and avoid losing important records across disconnected tools.

Internal access to backend customer data is limited to Greg Lirette and people he specifically authorizes for the work. Microsoft and other service providers may process data as needed to provide their services, but Notary Geek decides what operational data is exposed to employees, contractors, or downstream tools.

Why we keep raw records

For document, notary, apostille, identity, and payment workflows, losing the original submission can create real operational risk. We preserve raw provider events and file references so requests can be audited, matched, replayed, corrected, and supported later.

That preservation does not mean every employee or vendor sees everything. The goal is durable records with controlled access, not broad exposure.

How we use data

We use information to operate the workflow you asked for.

Request review

To review document needs, prepare quotes, coordinate support, coordinate notarization or apostille handling, and answer your questions.

Identity and fraud controls

To support identity verification, fraud prevention, audit records, compliance, and notarial workflows where required.

Support and messaging

To send request updates, support replies, scheduling messages, status messages, and other service-related communication when you opt in or request follow-up.

Operations and follow-up

To maintain contact history, match repeat customers, coordinate internal tasks, update workflow status, and avoid making you resubmit the same document or identity information unnecessarily.

Sharing limits

We do not sell request data.

We do not sell your document request details, identity-verification information, uploaded files, or SMS consent data. We may share or disclose information when needed to provide the service you requested, process payment, complete identity verification, coordinate shipping, support internal operations, comply with law, prevent fraud, protect rights, or respond to your instructions.

Google and other advertising or analytics providers may receive standard website, campaign, conversion, device, browser, and interaction data so we can understand whether ads and pages are working. Advertising measurement should not include uploaded documents, ID images, full provider payloads, or unnecessary sensitive details.

Employee and contractor access

Many platforms make broad privacy promises while the customer cannot tell who can actually see their data. Notary Geek's operating model is different: backend access is controlled by the business owner, and additional access is granted only when it is needed for a specific role or task.

As the team grows, access should remain role-based and limited to the work being performed.

Messaging privacy

Mobile consent is handled separately.

Text messaging originator opt-in data and consent are not shared, sold, rented, or transferred to third parties or affiliates for their marketing or promotional purposes.

Consent to receive text messages is not a condition of purchase. If text messaging is offered in a form or support flow, consent should be separate from general terms and separate from any unrelated purchase step.

Retention and protection

We may retain request records, support records, and workflow records as needed for operations, compliance, dispute handling, fraud prevention, and recordkeeping. Some notarial or identity-related records may be retained for longer periods when required by law or workflow rules.

No website or software service can promise absolute security, but we use administrative, technical, and workflow controls designed to protect information handled through the service.
